AI consulting and automation for Jacksonville contractors and service businesses

Missed calls, slow follow-ups, paperwork after hours. Let’s fix one at a time.

Patrick Foundry helps small contractors, trades and service businesses set up practical AI and automation tools for the everyday problems that cost them time: missed inquiries, slow follow-ups, scattered job information, typing the same thing twice, and paperwork that waits until after dinner.

Built by people who have run field crews and job sites.

Every Gap Map is AI analyzed and reviewed by a person before delivering. Delivered by email within 5 business days of payment and your completed form. Full refund if we haven’t started your report, or if we don’t deliver it within 5 business days after your payment and completed form.

Problems we start with

Most of what we set up starts with one of these:

ProblemWhat it usually looks likeThe kind of fix we look at
Missed inquiriesCalls go to voicemail on a job site; web-form leads sit in an inbox.Capture every inquiry in one place and notify the right person right away.
Slow follow-upsQuotes go out and nobody checks back; callbacks slip.Reminders and follow-up messages you approve, on a schedule you set.
Scattered informationJob details live in texts, notebooks, email and someone’s memory. One shared list or job record that the tools fill in.
Repetitive entryThe same customer info typed into the phone, the calendar and the invoice.Connect the tools you already pay for so details move once.
After-hours paperworkEstimates, job notes and logs done at night.Templates, voice-to-text notes and drafts you review, not rewrite.

Not every problem needs a new tool. Sometimes the right answer is a setting in software you already own, or a process change. If that’s what your answers point to, your Gap Map will say so.

Who it’s for

Our initial service is for small businesses, especially contractors, trades and service businesses (for example HVAC, plumbing, electrical, roofing, landscaping, cleaning, pool and pressure-washing companies). Other kinds of businesses can still request a suitability review: send us a note through the contact form and we’ll tell you honestly whether we’re a fit before you pay for anything.

Not a fit right now

Workflows that involve health records, payroll, moving money or financial transactions, or hiring decisions need a separate suitability and compliance review before we take them on, and we may decline them.

AI consulting across Jacksonville and the First Coast

Patrick Foundry is based in Jacksonville, and our AI consulting is built around the contractors and service businesses that keep Northeast Florida running: the HVAC, roofing, plumbing, electrical, pool and landscaping companies working from Mandarin to the Beaches, Orange Park to Fernandina.

  • Jacksonville and Duval County, including the Westside, Southside, Arlington, Northside and the Beaches
  • St. Johns County: St. Augustine, Ponte Vedra, Nocatee and World Golf Village
  • Clay County: Orange Park, Fleming Island, Middleburg and Green Cove Springs
  • Nassau County: Fernandina Beach, Yulee and Callahan

Most of the work happens by form, email and screen-share, so where you are rarely matters. Being local means we know the season you are running in: hurricane prep and storm calls, summer AC rushes, and the follow-ups that slip when every crew is booked.

What you’re paying for

AI tools are easy to sign up for and hard to get working in a real business. The work is in the steps around the tool:

  1. Workflow assessment. We look at how the work moves today, from first call to paid invoice, and where it breaks.
  2. Tool selection. We compare suitable options, including tools you already pay for, and tell you the estimated monthly subscription cost before you commit. Subscriptions are billed to you directly by each provider.
  3. Configuration. We set the tool up for your business: hours, service area, wording, routing, who gets notified.
  4. Integration. Where the tools support it, we connect them to your phone, email, calendar or job software. Not every system connects to every other one; we confirm what’s possible before you pay for implementation.
  5. Testing. We run test cases from your real day (a test call, a test web inquiry, a test after-hours request) and fix what doesn’t behave as defined in your approved scope.
  6. Documentation. You get plain-English instructions, a list of what was set up, which accounts it uses and what each costs per month.
  7. Follow-up. We check back after handoff to confirm it’s still running as configured.

What we commit to is the setup, the testing and the handoff, configured and tested for the workflow defined in your approved project scope. We don’t promise more calls, more revenue, hours saved, or flawless operation. AI tools can and do make mistakes, and they depend on providers we don’t control.

Already shopping for scheduling, quoting and invoicing software? We recommend Jobber, field service software that keeps quotes, scheduling, invoicing and payments in one place. Patrick Foundry may earn a commission if you sign up through our link, at no extra cost to you.

How it works

  1. Tell us how your business runs.

A short form: 15 questions about how customers reach you, where your week goes and what you’ve tried. Plain answers are best.

  2. Get your Gap Map.

A written report with your prioritized opportunities, a recommended first workflow, suitable tool options and their estimated monthly costs, limitations, and next steps. Every Gap Map is AI analyzed and reviewed by a person before delivering.

  3. Decide what’s next, or nothing.

The report is useful on its own. It may recommend a tool you already have, a process change, or no package at all. You never have to buy anything else.

  4. If you want help building it, book a package or join the implementation waitlist.

No payment to join. Book a package or join our waitlist within 30 days after delivery and your full Gap Map payment is credited, and kept while you wait. When a spot opens, you’ll have 14 days to accept it.

  5. Suitability check, then scope, then payment.

Before you pay anything for implementation, we confirm the workflow is suitable, write it into a project scope you approve, and only then send the agreement and first invoice.

  6. Build, test, hand over.

We configure and test against your approved scope, you review and accept it, we hand it over with documentation and remove our access unless you choose maintenance.

What the Gap Map is and isn’t

  • Every Gap Map is AI analyzed and reviewed by a person before delivering.
  • It is based on your answers to the form. It is not a full operational, security, accounting or legal audit, and it is not legal, tax, accounting or IT-security advice.
  • Cost and effort estimates rest on stated assumptions and current public pricing. They are estimates, not quotes or guarantees.
  • Recommendations may be a tool you already have, a process change, or no package. The report stands on its own; you don’t need to buy anything else.

Delivery, refunds and credit

  • Delivery: We email your Gap Map within 5 business days after we receive both your payment and your completed form.
  • Before we start: If we haven’t started your report, ask and we’ll refund it in full.
  • Late: If we don’t deliver your report within 5 business days after we receive your payment and completed form, you can ask for a full refund.
  • After delivery: Once your report is delivered, it isn’t refundable, with one exception: if it’s missing what your tier includes, or is based on the wrong business or clearly misreads your answers, tell us within 14 days after delivery and we’ll correct it within 5 business days, or refund you in full if we can’t. This doesn’t limit any rights you have under law.
  • Credit: The full amount you paid for your Gap Map ($97 or $149) is credited toward a Patrick Foundry package if you book a package or join our implementation waitlist within 30 days after your report is delivered. On the waitlist, your credit is kept while you wait. When a spot opens, we’ll offer it to you in writing, and you’ll have 14 days to accept it and use your credit.

Implementation packages

Packages are currently waitlist-only. No payment to join. We confirm your workflow is suitable before you pay anything for implementation.

Bought a Gap Map? Book a package or join our waitlist within 30 days after delivery and your full Gap Map payment is credited, and kept while you wait.
  • One solution = one business workflow with one defined starting point and one defined result, for example “a web-form or missed-call inquiry is captured and the owner is notified.” It is written into your project scope before work starts. A second workflow is a second solution.
  • Every package is configured and tested for the workflow defined in your approved project scope. Anything not in that scope needs a written change order or a separate quote.
  • Tool subscriptions are not included. You open or keep each account in your business’s name and pay the provider directly. We’ll tell you the estimated monthly cost before you commit.

Starter: $649 per solution

One straightforward workflow, using one primary tool, set up and handed over working.

Included

  • Suitability check and a written one-page scope you approve before paying.
  • One primary tool, in your business’s name (new or one you already have).
  • Configuration for your business: hours, wording, common questions, who gets notified, when to hand off to a person.
  • Connection to one existing system where the tool supports it (for example your phone line, email inbox or calendar).
  • Testing with agreed test cases from your real day, and fixes for anything that doesn’t behave as scoped.
  • A one-page how-to and a list of what was set up and what it costs per month.
  • A follow-up check about a week after handoff.

Not included: connecting several tools to each other, data migration or clean-up, custom code, staff training sessions, ongoing support (see maintenance and add-ons).

You’ll need: admin access you can grant to the system it connects to, a payment method for the tool subscription, someone available to approve wording and run tests, and your phone for sign-in codes (codes stay with you).

Optional add-ons: walkthrough script your team can follow, $79 · 30-day guided email support after handoff, $129.

Optional maintenance: $179/month, starts only if you choose it. See Maintenance.

No payment to join. We’ll reach out when a spot opens.

Growth: $1,499 per solution

One workflow with more moving parts, where information has to move between the tools you already use.

Included

  • Everything in Starter, for one solution.
  • A written plan before we build: the workflow, the tools, the build order, the test cases and one fixed price.
  • Connections between up to three tools or systems named in your scope (for example phone, calendar, job software, customer list), where those tools support it.
  • Built and tested in steps, with your written OK before each next step.
  • A setup map: which tool does what, how they connect, and each tool’s monthly cost.
  • A 30-day check-in after handoff.
  • First month of maintenance included at no charge, if you choose to enroll. It doesn’t turn into a paid plan unless you confirm.

Not included: custom software, tools or connections not named in your scope, data migration beyond what the scope lists, regulated workflows (health, payroll, payments, hiring) without a separate review.

You’ll need: admin access to each connected system, a payment method for each subscription, one decision-maker for approvals, and time for test runs.

Optional add-on: walkthrough script, $149.

No payment to join.

Custom: from $1,999

For workflows standard setups don’t cover. Priced by a written fixed quote after a scoping review.

Included

  • A detailed written scope and fixed quote before any payment: the workflow, what must never go wrong, tools, build order, milestones, test cases and acceptance criteria.
  • Configuration, integration and testing in milestones, with your written approval at each one.
  • Documentation of how everything connects, monthly cost list, and handoff.
  • Weekly how-to guides on your new tools during the first month after handoff (supplementary).
  • A 30-day check-in.
  • First month of maintenance included at no charge, if you choose to enroll. It doesn’t turn into a paid plan unless you confirm.

Not included: anything outside the written quote; work needing licensed professional advice (legal, tax, accounting, security certification).

No payment to join.

We take on a limited number of projects at a time. When a spot opens we’ll contact you in the order you joined. Final scope, schedule and price are set in your written project scope and agreement.

Join the implementation waitlist

No payment to join. We’ll reach out when a spot opens.

Please don’t send passwords or account details. We’ll ask for access later, through invites you control.

Your accounts, your business

Every tool account is opened or kept in your business’s name. You stay the owner and the billing contact, and you pay subscriptions directly to each provider. We work through access you grant us (an invited user or an approved app connection wherever the tool allows it) and we remove it at handoff unless you choose maintenance. What we build for you (settings, wording, workflow maps, instructions) is yours to keep and use once paid for. Not every tool connects to every other tool, and providers can change features or prices; we’ll tell you what we know before you commit.

Maintenance (optional)

Tools change, your business changes, and connections break when a provider updates something. Maintenance keeps the workflow we set up running as scoped.

Maintenance covers the workflow in your approved scope. New workflows, new tools and larger changes are quoted separately. Response expectations and the amount of work included each month are set in your maintenance agreement. Provider outages are outside our control; we’ll help you work around them where we can. Maintenance is not an emergency or 24/7 service.

Billing

Maintenance is optional and opt-in only. Paid plans are billed monthly through Stripe. For Growth and Custom, the first month is included at no charge and does not turn into a paid plan unless you confirm you want to continue. Cancel anytime; cancellation takes effect at the end of the current paid month, and the current month isn’t refunded unless the law requires it. Before you enroll you’ll see the price, the first billing date and how to cancel. When a plan ends, we remove our access.

If you don’t choose maintenance, we remove our access at handoff. With maintenance, we keep only the limited access you authorize in writing, and remove it when the plan ends.

Questions

Do I have to buy a package after the Gap Map?

No. The report is meant to be useful by itself, and it may recommend no package.

Who pays for the tools?

You do, directly to each provider, in your business’s name. We tell you the estimated monthly cost first.

Will it work with my software?

Maybe. Not every system connects to every other one. We confirm what’s possible before you pay for implementation.

Do you need my passwords?

No. We use invites, approved app connections or a screen-share where you sign in yourself. Never email us passwords, card details or sign-in codes.

Can you guarantee results?

No. We commit to configuring and testing the workflow in your approved scope and handing it over documented. Results depend on your business, your customers and the providers’ tools.

What if I’m not a contractor?

Send us a note through the contact form for a suitability review.

Who prepares the Gap Map?

Every Gap Map is AI analyzed and reviewed by a person before delivering.

Do you work with businesses outside Jacksonville?

Yes. We are based in Jacksonville and work with contractors and service businesses across Duval, St. Johns, Clay and Nassau counties and the rest of the First Coast. The Gap Map and most setup work happen by form, email and screen-share, so businesses elsewhere in Florida and the U.S. can use it too.

What does AI automation look like for a Jacksonville contractor?

Usually something specific: answering or logging after-hours inquiries, sending quote follow-ups on time, turning job notes into a clean record, or cutting double entry between your scheduling, estimating and accounting tools. We start with the one that costs you the most time.
